Conditions of Participation
for booking digital and in-person events at Resilience Expo
The following terms and conditions govern the contractual relationship between participants in conferences, seminars and other events (hereinafter referred to as ‘event’) and Resilience Expo (hereinafter referred to as ‘ORGANISER’). The validity of the participants' general terms and conditions is expressly excluded.
I. General provisions
1. Purchase of tickets, cancellation
1.1 Conclusion of contract
After submitting their registration (via the website or by other means), participants will first receive a confirmation of receipt, which is still subject to the availability of the desired tickets. The contract is only concluded when the ORGANISER sends the participants an express confirmation of participation.
1.2 Notification of non-attendance
If you are unable to attend the event, please notify us as early as possible, as the number of places is limited and the place may then be allocated to other participants.
1.3 Transfer of tickets
Participants are entitled to transfer their ticket to a third party. However, they may not charge more than the purchase price originally demanded by the ORGANISER; free tickets must be transferred free of charge. If registration by name is required, the ORGANISER must be notified immediately by email at kontakt@resilience-expo.com of the name and, if applicable, the address of the replacement participant. The ticket is only valid for one person. If the ticket is transferred, it may no longer be used by the original holder..
1.4 Ticket control
The purchased tickets will be sent digitally. When entering a face-to-face event, the ticket must be presented for inspection as a printout or digitally (e.g. on a smartphone). For online events, participants will be sent a login code or link to enter the digital conference room by email before the event.
2. Payment
1.2 Prices
Unless participation is expressly stated as free of charge in the registration form, the prices stated in the price list (link) apply.
2.2 Pricing, scope of services
The participation fee is per person and event date plus statutory value added tax. It includes conference documents, lunch and refreshments during breaks for in-person events. The participation fee is due 14 days after the invoice date.
3. Postponement/programme changes, cancellation and termination
3.1 Postponement/programme changes
The ORGANISER reserves the right to postpone the event or parts of the event and to make changes to the programme. In all cases, purchased tickets remain valid. In the event of a postponement to another day (but not in the event of a change of time on the same day) or in the event of significant changes to the programme, participants are entitled to withdraw from the contract for the purchase of tickets for the event or parts of the event affected. A significant change to the programme shall be deemed to have occurred if the content (and not just the focus) of lectures, workshops or similar events is changed or if lectures/workshops are cancelled without replacement, but not if the speaker or lecturer is replaced for organisational reasons. Participants are also entitled to withdraw from the contract in the event of a relocation to another city (but not to another venue in the same city) or a change from an online to an in-person event (but not vice versa).
Withdrawal by participants must be declared in writing (email is sufficient) or by post. In this case, the ticket sent will lose its validity and the ticket price paid will be refunded minus any fees incurred. The final scheduling of an event that was not initially scheduled or was expressly scheduled as provisional does not constitute a change within the meaning of this provision and therefore does not entitle participants to withdraw.

The final scheduling of an event that was not initially scheduled or was expressly scheduled as provisional does not constitute a change within the meaning of this provision and therefore does not entitle participants to withdraw.
3.2 Cancellation
The ORGANISER is entitled to cancel the event for objective reasons, including insufficient number of participants, up to seven days before the start of the event. If an important reason beyond the ORGANISER's control arises at a later date (e.g. illness of the speaker, official order), cancellation at shorter notice is also possible.
3.3 Repetition of the event
n the event of a repeat of the event, i.e. rescheduling of an event that has already begun and then been cancelled, the repeat shall be deemed a new event; the ticket for the original event shall not be valid for this, unless the ORGANISER expressly indicates that the ticket is also valid for the repeat. In the event of continued validity, participants may withdraw from the contract by giving notice in writing.
3.4 Reimbursement of travel expenses
Travel expenses will only be reimbursed if this has been promised to participants prior to booking. In this case, the costs of a 2nd class rail journey or, if travelling by car, the applicable tax-free mileage allowance will be reimbursed; hotel costs will be reimbursed by arrangement. In the event of cancellation of the event, no travel expenses will be reimbursed.
4. Copyright
4.1 Conference documents
All conference documents relating to the ORGANISER's events are protected by copyright. Participants are granted a simple, non-transferable right of use for personal use only. In particular, participants are not permitted to modify the conference documents, make them publicly available or forward them, either for a fee or free of charge, or use them for commercial purposes. Any copyright notices, labels or trademarks may not be removed.
4.2 Prohibition of recording
Participants are prohibited from recording the event or parts thereof.
5. Liability
5.1
The events are carefully prepared and conducted by qualified speakers. The ORGANISER accepts no liability for the topicality, accuracy and completeness of the event content or the conference documents, nor for the usability of the event for the professional or personal purposes of the participants.
5.2
The ORGANISER shall be liable without limitation for intentional damage, injury to life, limb or health, the absence of a warranted characteristic, fraudulent misrepresentation or in cases of product liability. In the event of a breach of warranty, the scope of liability shall be determined by the content of the warranty promise.
5.3
In all other respects, the ORGANISER shall be liable for any negligent breach of such obligations, the fulfilment of which is essential for the proper execution of the contract and on the observance of which the participants regularly rely and may rely, in the event of any negligent breach of insignificant ancillary obligations by its legal representatives and executive employees, as well as in the event of grossly negligent breach of insignificant ancillary obligations by simple vicarious agents, only for the foreseeable damage typical for this type of contract. Beyond this, the ORGANISER's liability is excluded.
6. Survey
Following the event, the ORGANISER will send participants an email with a link to a survey asking them to evaluate the event and its organisation. Participation in the survey is voluntary.
II. Additional conditions for participation in online or hybrid events
1. Liability
In addition to the provisions of II. 5., the following applies:
1.1
Liability for access manipulation by third parties for the security, integrity or availability of networks, other servers, software and data of third parties, as well as for malware from third parties, is excluded. Our liability is also excluded if the event cannot be accessed via the Internet due to technical or other problems beyond the ORGANISER's control (fault of third parties, culpable behaviour of a participant, misuse).

Wir weisen ferner ausdrücklich darauf hin, dass der Datenschutz für Datenübertragung in offenen Netzen wie dem Internet nach dem derzeitigen Stand der Technik nicht umfassend gewährleistet werden kann. Die Teilnehmer*innen sind daher darüber informiert, dass Dritte unter Umständen technisch in der Lage sind, unbefugt in die Netzsicherheit einzugreifen und den Kommunikationsverkehr einzusehen. Eine hieraus resultierende Haftung ist ausgeschlossen.
2. Name, video recording, consent of participants
2.1 Purpose of video
The ORGANISER or a third party commissioned by the ORGANISER will record the online event on video. The recording will show the names that participants have given in their respective profiles and the image transmitted by their respective cameras. The video will be used for the following purposes:
◼ Publication on the ORGANISER's website and on websites of customers participating in the above-mentioned event
◼ Publication on the ORGANISER's social media channels, in particular Twitter and LinkedIn
◼ Publication of still images in the ORGANISER's print media (own publications and on behalf of customers)
◼ Transfer to third parties, in particular print and online media for reporting purposes
◼ Permanent storage of the recordings in an internal archive
◼ Publication on the ORGANISER's website and on websites of customers participating in the above-mentioned event
◼ Publication on the ORGANISER's social media channels, in particular Twitter and LinkedIn
◼ Publication of still images in the ORGANISER's print media (own publications and on behalf of customers)
◼ Transfer to third parties, in particular print and online media for reporting purposes
◼ Permanent storage of the recordings in an internal archive
2.2 Consent to the publication of your name
During the registration process for access to the online event, participants enter a name for their user profile. This name can be chosen freely by them and will be visible in their participant tile and in the list of participants during the conference. It is not technically possible to change this name during the conference. By entering their real name, participants declare their consent to their name being made known to other participants and to it being visible on the video and identifying them.
2.3 Consent to image use
Participants may decide at any time before and during the event whether to switch their camera on or off on their own digital device. If it is switched on, persons in the camera's field of view will be visible to all participants of the conference and will also be included in the video recording made by the ORGANISER. By switching on their camera, participants declare their consent to the identifying image on the video recording and to the use of the recording in accordance with section 2.1.
2.4 No subsequent revocation of consent possible
For technical reasons, it is not reasonably possible for the ORGANISER to subsequently make the names or camera images of participants unrecognisable. The continued use of the video recording once it has been made, after notification of a change of opinion by the participants, shall then be in the legitimate interest of the ORGANISER.
III. Additional conditions for face-to-face events
1. Conduct at the event venue
1.1 House rules
The ORGANISER or authorised third parties are entitled to exercise their rights as property owners at any time. The instructions of the ORGANISER, the police and security personnel must be followed at all times before, during and immediately after an event.
1.2 Access
In principle, every ticket holder is entitled to enter the event venue. However, admission may be refused or the ticket holder may be expelled from the event venue if
a) the ticket holder refuses to undergo an appropriate check of their person and/or the items they are carrying at the entrance and/or inside the event venue by security personnel before entering the event venue;
b) the individualisation features printed on the tickets (e.g. name, seat details, barcode, QR code, serial and/or shopping basket numbers) have been tampered with, rendered unrecognisable and/or damaged, or if an attempt to gain admission has already been made with the ticket, unless this is for reasons for which the ORGANISER is not responsible, and/or the ticket holder is not the same person as the participant who is registered as the participant in connection with the ticket and noted on the ticket by means of individual identification features;
c) the ticket holder is visibly under the influence of alcohol and/or drugs;
d) any of the following items are carried or used: glass containers, drones, pyrotechnic items, torches, weapons and similar dangerous items, animals.

c) the ticket holder is visibly under the influence of alcohol and/or drugs;
d) any of the following items are carried or used: glass containers, drones, pyrotechnic items, torches, weapons and similar dangerous items, animals.
1.3 No compensation
In the event of justified refusal of admission, participants shall not be entitled to compensation.
2. Photo, video and audio recordings, consent of participants
2.1 Purpose of photo, video and audio recordings
At the in-person event, photo and/or video and/or audio recordings of the event and its guests will be made by employees of the ORGANISER or by service providers commissioned by the ORGANISER. The recordings will be used for the following purposes:
◼ Publication on the ORGANISER's website (www.resilience-expo.com) and on the websites of customers participating in the event
◼ Publication on the ORGANISER's social media channels, in particular Twitter and LinkedIn
◼ Publication in the ORGANISER's print media (own publications and on behalf of customers)
◼ Transfer to third parties, in particular print and online media for the purpose of reporting
◼ Permanent storage of the recordings in an internal archive
◼ Publication on the ORGANISER's website (www.resilience-expo.com) and on the websites of customers participating in the event
◼ Publication on the ORGANISER's social media channels, in particular Twitter and LinkedIn
◼ Publication in the ORGANISER's print media (own publications and on behalf of customers)
◼ Transfer to third parties, in particular print and online media for the purpose of reporting
◼ Permanent storage of the recordings in an internal archive
2.2 Legal basis for panoramic and large group recordings
Insofar as recordings are made as panoramic recordings of the event without a specific focus on certain groups of people or as recordings of crowds of more than 10 people at the event, this is done on the basis of the ORGANISER's legitimate interest in documenting the event and does not require the separate consent of the persons depicted.
2.3 Consent for individual and small group recordings

2.4 Right of withdrawal
Consent to the use of recordings as specifically described above (data, purpose and type of use) in accordance with Section 2.3 may be revoked at any time without giving reasons by email to kontakt@resilience-expo.com with effect for future publications. Publications made prior to revocation may continue to be published, distributed or made available online. Publications that have already been printed may be distributed upon revocation.
3. Use of the name provided in the registration
When purchasing a ticket, the full name of the participant is required for billing purposes. The name will also be printed on a name tag for participants in face-to-face events and used to create participant lists. Neither document is publicly accessible. Participants are free to decide whether they wish to wear their name tag visibly.
